Job Summary
The Assistant Production Manager is responsible for selling services and products to new and existing clients, as well as independently running small to mid-scale events from concept to implementation. They must work effectively with clients, internal teams, and external suppliers to flawlessly deliver events that provide results against established objectives, timelines, and financial goals.
The Assistant Production Manager will work closely with the Head of Velvet Entertainment and the Senior Production & Operations Manager, as well as the Warehouse team, to build the Velvet Entertainment arm within the Velvet Group. The ideal candidate will have impeccable organisational skills, attention to detail, excellent communication skills, and the ability to thrive under pressure, along with experience in and a passion for event production.
Duties & Responsibilities
The Assistant Production Manager shall:
- Play a lead role in selling Velvet Entertainment services and products to both new and existing clients.
- Lead the execution of small to mid-scale live events, focusing on logistics, hiring of kit and crew, invoicing, budgeting, and excellence in client service.
- Develop and provide timely quotes to clients with a focus on producing innovative events while maximising revenue and profitability.
- Follow department protocols for event planning and execution of all event elements.
- Work with the Velvet Entertainment team, warehouse crew, and external vendors to ensure that all logistical needs for events are understood and met.
- Collaborate with the Velvet Living team to cross-sell services and products, maximising revenue and synergies within the company.
- Identify necessary vendor/partner support and source and manage accordingly, ensuring that all elements are appropriately incorporated into the overall event.
- Handle invoicing for client jobs and relevant administrative follow-up.
- Track budgets and costs throughout each project and communicate changes to all relevant parties.
- Exhibit exceptional written and verbal communication skills with superb attention to detail.
- Reconcile all project expenses, ensuring vendor invoices are accurate and client invoices reflect all approved event expenses.
- Provide solutions under high-pressure circumstances, acting quickly to resolve problems and troubleshooting proactively before, during, and after the event.
- Evaluate outcomes and submit key learnings on all aspects of events, including client satisfaction, stock, transport, and equipment outcomes.
Skills & Requirements
The Assistant Production Manager shall:
- Have relevant event experience, including running small-scale projects independently.
- Possess well-developed organisational, project, and time management skills.
- Have an exceptional eye for detail with a focus on delivering high-quality work.
- Build solid and reciprocal relationships with key contacts and vendors in the industry, as well as foster strong client relationships.
- Demonstrate trust and open, honest communication with clients, internal teams, vendors, and partners.
- Be able to meet tight deadlines and work well under pressure while troubleshooting proactively.
- Have strong verbal and written communication skills.
- Be able to prioritise and manage multiple tasks/projects while demonstrating flexibility and adaptability.
- Work independently without supervision, be self-directed, and demonstrate initiative.
- Work collaboratively with others for whom they have no direct supervisory authority.
- Have the ability to establish rapport with others and build strong interpersonal relationships.
- Exhibit good judgment and decision-making skills.
- Be available and willing to work extended hours, including nights, weekends, and holidays, and be on-call as necessary.
- Understand and support the mission and values of Velvet.
- Have knowledge of Microsoft Office software, including Outlook, Excel, Word, and PowerPoint.
Accountability
- The Assistant Production Manager reports to the Head of Velvet Entertainment.
Physical & Time Demands
The Assistant Production Manager position requires:
- Full-time availability (40 hours/week), with periodic early morning, late evening, and weekend work, as per Velvet Entertainment’s overtime and time-in-lieu policy.
Team Progression & Development
- A pre-approved course or seminar will be funded by Velvet to facilitate professional development after six months in the role.
